Instant booking-to-invoice pipeline. A startup founder calls to reserve the boardroom for a Tuesday pitch meeting. The receptionist selects the boardroom from the resource catalogue, picks the time slot and adds the 65-inch smart TV as a separate line item — each with its own quantity, unit price and duration. The system resolves the correct price revision for each item, calculates VAT as either inclusive, exclusive or zero-rated depending on how the resource is configured, applies any discount percentage, and computes the line totals. One catalogue for every space the business sells. Every resource the business sells — flexi desks, conference rooms, the boardroom, private offices, event venues — is defined with its own item code, description, maximum occupancy and total available quantity. Each resource carries multiple pricing tiers: an hourly rate for a quick client meeting, a half-day rate for a morning workshop, a daily rate for an all-day strategy session, a weekly rate for short-term projects and a monthly rate for a long-term tenant. Each price tier records whether VAT is inclusive, exclusive or zero-rated, and the system maintains a full revision history so that when a rate changes, every new booking uses the current price while historical bookings retain the price that was locked in at the time of reservation.
A colour-coded schedule that answers “what’s available?” in seconds. The system cross-references every resource against every hour of every day in the selected date range, counts how many units of each resource are already booked, and displays the remaining available quantity per time slot. A receptionist fielding a walk-in enquiry can see at a glance which conference rooms are open tomorrow morning, with unavailable slots highlighted in red so they stand out immediately. The dashboard also splits current bookings into “Active” and “Scheduled” grids, with colour coding that flags bookings ending soon in red and bookings starting soon in green — giving reception a live operational picture without consulting a diary, calling a colleague or scrolling through a spreadsheet. Resource types can be flagged as limited-quantity, ensuring the system prevents overbooking by design.

3. Building a complete picture of every customer automatically
Accounts that grow with every interaction. A freelance designer who uses a flexi desk three mornings a week is not the same customer as a company that hires the boardroom once a quarter. The system tracks both with equal precision. Every customer account holds first names, surname, ID number, cell number, alternative number, email address, full billing address with GPS coordinates, company name, company registration number and VAT number. Each account is assigned a unique account number and synchronised to a corresponding contact in Xero, so the accounting system always reflects the same details without manual re-entry. From any customer account, the system displays a complete booking history searchable by reservation number, creation date range, resource booked date range or status, alongside every invoice ever raised — showing invoice number, date, line totals excluding and including VAT, discount, current status and a direct link to the downloadable invoice document.
Documents filed where they belong. Signed lease agreements, ID copies, booking confirmations and invoices are stored directly against the customer account or against a specific booking — always one click from the record they relate to. Each document is recorded with its name, type, upload date and a secure download key, so nothing is lost in a folder structure or email thread. The system provides a dedicated document view at both the customer and booking level, so when the auditor asks for a particular lease, reception finds it in seconds without drilling through individual profiles.

4. Giving virtual office clients the visibility they deserve
A service line that could easily disappear into spreadsheets. Ad-hoc invoices through the same pipeline. Monthly virtual-office fees, once-off printing charges, a catering deposit that is not tied to a specific room booking — these flow through a separate ad-hoc invoice screen that uses the same resource catalogue and the same Xero posting engine. The receptionist selects a customer account, adds line items from the catalogue with quantities and discount percentages, and the system posts the invoice to Xero, generates the document and sends the customer an email with the QR code and payment link, exactly as it does for a booking invoice. If an ad-hoc invoice needs to be cancelled, the system voids it in Xero and updates the local status in the same action.
Payments that match themselves. A scheduled background task polls for incoming SnapScan payments by merchant reference, identifies completed transactions and matches them to outstanding invoices automatically, recording the payment amount, transaction identifier and payment date against each invoice. No one cross-references bank statements. No one remembers to mark an invoice as paid. If anything goes wrong with the accounting integration — a failed sync, an expired authentication token, a mismatched customer — the system surfaces it immediately on the dashboard as a count of Xero errors with a dedicated error view, rather than letting it disappear into next month’s reconciliation.

6. WiFi that sorts itself out before the customer arrives
Vouchers generated from the network hardware automatically. The resource type determines whether a booking includes internet access, so only the relevant bookings trigger voucher generation. The voucher is stored against the reservation by its code and network identifier — no one types a password, logs into a router or hands out a generic code from a printed list. A freelancer booking a flexi desk for the morning gets a voucher that expires at the end of the session. A training company running a full-day workshop gets vouchers that cover the entire booking window. The system can also specify upload and download speed limits and data caps per voucher, so the network stays fair across all users.
Delivered by SMS from the booking screen. The booking detail screen displays the voucher code and offers a single action to send it via SMS. The customer’s cell number is pre-filled from their account record, normalised to the correct international format, and the message is dispatched with the voucher code and a thank-you note. Every voucher is traceable to a specific reservation and a specific customer, so the network stays secure and usage stays accountable.

7. Running a small team without a separate HR system
Leave requests that route themselves through the right approvals. A coworking space runs with a small team — reception, a manager, a cleaner, perhaps a maintenance person. When a staff member submits a leave request, they specify the leave type (annual, sick or family), the start date, the number of days requested and the return-to-work date. The system records the current leave cycle start date, leave already taken in the current cycle and the current balance at the point of request. It then routes the request through a defined chain: HR reviews first and can either approve or cancel the request outright. If approved, the system generates the leave document and sends a signature request notification to the employee. Once the employee signs and accepts, the request moves to the manager for final review. If the manager approves, the system sends an approval notification. If any party rejects at any stage, the employee is notified immediately with the rejection reason. Each step carries its own comment field — employee comment, HR comment, manager comment, cancellation comment — so the full conversation is recorded against the request.
Balances that stay accurate without a payroll department. The system calculates leave balances from first principles: each employee’s start date, their annual earn rate (which can change over time with a full rate history), take-on balances for annual, sick and family leave, and every request that has been approved. It handles six-month leave cycles, grace periods, expiry of unused leave and the distinction between the first six months of employment and ongoing accrual. A scheduled background task monitors leave that is currently in progress and sends a daily summary of who is off, so management can plan reception coverage and staffing without consulting a separate calendar. If a request is cancelled after approval, the system reverses the balance impact automatically.
Employee records in one place. Each employee profile records their start date, business unit, half-day status, termination date if applicable, and is linked to a platform user account for login access. Supporting documents — employment contracts, ID copies, supporting medical certificates — are uploaded against specific leave requests or the employee profile directly. Everything that would otherwise live in a filing cabinet is accessible from the same platform, under the same login.

The venue is selected as a resource from the catalogue, filtered by resource type, and the receptionist adds each extra — catering, additional chairs, projector hire — as a separate line item, each carrying its own unit price, quantity, duration, discount and VAT calculation. The system computes the end date automatically based on the unit type: a full-day booking that starts on Monday morning ends at close of business, a weekly booking spans the correct number of calendar days, and a multi-day event adjusts accordingly. The total is invoiced through Xero, the document is generated, and the customer receives a confirmation email with every line item broken out, a SnapScan QR code and a payment link.

A booking is confirmed, and the system sends a confirmation email with a SnapScan QR code and a payment link. The customer pays, and a scheduled background task matches that payment to the outstanding invoice in Xero. A leave request is submitted, and the system generates the document, routes it for signatures, and sends it through manager approval — updating the ledger at every step. Push notifications alert the right staff when key events occur: a new booking, a status change, an invoice error. Each user controls which notifications they receive via email or push, so the receptionist is not buried in accounting alerts and the manager is not distracted by booking confirmations. Every automated action writes to the same audit trail as every manual action, so the system traces any change — whether initiated by a person or by a scheduled task — back to the event that triggered it.
